Catering for All-Hands Meetings in Vancouver (50+ People)
All-hands meeting catering in Vancouver for 50-500 people. Hot meals, dietary coverage, and on-time setup from $16/person.

All-Hands Meetings Need All-Hands Meals
Quarterly all-hands meetings are critical moments for company culture. When leadership presents results and strategy to 50, 100, or 300 people, the logistics have to be flawless. And that includes the food. Bad catering at an all-hands turns a culture-building event into a complaint session. People remember the cold pizza and wilted salad long after they have forgotten the Q3 numbers.
Vancouver companies hold all-hands in diverse venues: office common areas, rented event spaces, hotel ballrooms, and even outdoor venues in summer. Each format has different catering requirements, and most caterers treat large groups as an afterthought, just triple the standard order. That approach fails at scale.

For groups of 50+, we recommend buffet-style service with attended stations. Here is our standard all-hands format:
- 50-100 people: 2 protein stations, 1 vegetarian station, 1 salad bar, 1 dessert table. $16-20/person.
- 100-200 people: 3 protein stations, 2 vegetarian stations, 1 build-your-own bowl bar, dessert. $18-22/person.
- 200-500 people: Full catering team (4-6 staff), multiple lines to reduce wait time, variety across stations. $20-26/person.
For a 150-person quarterly all-hands, budget $2,700-3,300 per event. Plan the details with our Event Budget Planner.
Dietary Coverage at Scale
Managing dietary needs for 50+ people requires systems, not guesswork. We collect dietary information in advance through a simple survey link sent to all attendees. Our kitchen prepares clearly labeled options for every restriction: vegan, gluten-free, halal, kosher, nut-free, and dairy-free. Each station has visible allergen cards. At scale, we dedicate separate serving utensils and stations for allergen-sensitive options.
Pre-plan your event's dietary coverage with our Dietary Planner.
Timing and Flow
The biggest mistake with large event catering is treating the meal as a pause in the program. Smart companies integrate food with the agenda:
- Arrive-and-eat format: food ready when people walk in, presentations start 30 minutes later
- Mid-session break: 25-minute break with food stations, keeps energy up for afternoon sessions
- Working lunch: food designed to eat while listening (fork-friendly, quiet foods, no crunching)
We set up 30 minutes before your event starts and break down within 20 minutes of the meal ending. Our team handles everything. Your people focus on the meeting, not the logistics.
Frequently Asked Questions
How far in advance should we book for a 150+ person event?
Two weeks is ideal. One week is doable for standard menus. For custom menus or events over 300 people, 3 weeks ensures full menu flexibility.
Can you cater at external venues like hotels or event spaces?
Yes, unless the venue has an exclusive catering contract. We work with most Vancouver event spaces and hotels. We will coordinate with the venue's events team on setup requirements, access times, and kitchen use.
What if our headcount changes close to the event?
We accept headcount changes up to 72 hours before the event at no penalty. Within 72 hours, you can increase headcount (we always prepare 10% buffer) but decreases may not be refunded.
